II.
Work Tasks
- Tasks
to operate the users group
|
- This list breaks the
work tasks down in more detail than the above officers
list.
- This list is from a
study done in August 2003, in an attempt to define the
officers structure so that we have officers dedicated to
specific work tasks that MUST to be done in order to
continue having meetings.
- These taks are listed
in perceived order of importance to keeping the meetings
going.
A. Critical Tasks
Doing these 3
functions, will allow informal discussion-type
meetings to happen.
1.
Cpamu Listserver Operation -- Ben Rinehart
(non member) (assisted by Jim Ingram)
Without
this tool, we could not even be doing any of
this communication. This task includes
keeping the Listserver's address list up to
date, which can be a headache
sometimes.
2. Room
Scheduling -- Dave Wojtowicz
(acting)
If
just this one function is performed, people
can have informal discussion sessions, such
as they were doing from March through May
2003 even though there was no program, no
publicity, and no officers present.
3. Winter
Road Monitor -- Dave Wojtowicz
In
event of snowy roads, this person sends an
email over the [cpamu] Listserver no
later than 5 pm, announcing the meeting is
either "on" or "off".
|
.
B. Key
Tasks
Doing these 4
additional functions, will create a more organized
meeting.
4.
Meeting Announcer -- Dave Wojtowicz
Announce
the next meeting in a timely manner on the
CPAMU Listserver.
5. Meeting
Chairman -- Dave Wojtowicz
This
person conducts the meeting; call to order,
secretaries report, treasurer's report, all
items of business except the
program portion.
6.
Program
Chairman
-- Dave Wojtowicz
Arranges
an educational program. My opinion is that
this is the TOUGHEST job -- one that most of
us cannot do. This is possibly why none of us
wanted to step in when Dave became
unavailable.
7.
Publicity -- Dave Wojtowicz
We
should have a list of email addresses,
deadline dates, and follow-up phone numbers
for newspaper contacts, so we can EFFICIENTLY
distribute a press release for any meeting
that we want to publicize.
|
.
C.
Desirable Tasks
Doing these
additional functions, would create a fully
functioning club.
8.
Treasurer -- James Ingram
This
person needs to collect and record dues, pay
the annual liability insurance and other
bills, provide accounting statements, plus
provide the bank with forms with names of
officers that can sign checks.
9. Bylaws
Chairman -- Loraine Prutzman
(acting)
We
need a set of written bylaws. Currently we
have none
10.
Expansion Chairman -- not being done
currently
Looks
at ways to move some of the the meetings to
other nearby areas, to reach more people,
that we would not normally reach.
11.
Librarian -- Bob Parks
Keeps
track of training CD's, club hard drive,
other club property loaned to members.
12.
Newsletter -- Bob Parks
Written
version of what's new in the Macinstosh
world.
13. Apple
Ambassador -- Dave Wojtowicz
Receives
communications from Apple to User Groups.
14.
Membership List -- Jim Ingram
Maintain
list of names, addresses, and phone numbers
of all members.
15. Website
Maintainance -- Jim Ingram
Meeting
night information, contact information, map
to meeting location, instructions for
subscribing & unsubscribing to
Listserver.
I have
tried to design the website so it can be
relatively static -- with the "up to
the minute" events being announced on the
[cpamu] Listserver. A more ambitious
person could make it more dynamic, i.e. add
photos from meetings, etc.
16. Website
Macintosh LINK Page -- Jim Ingram (not
actively updating)
This
can be on one or more members' own sites, and
linked to the main DAPI web page. These would
be dynamic pages, up-to-date with the most
important Macintosh links.
